Members

Members is the roster: every student, mentor, admin and sales rep in the agency, and the page where each one is set up.

The list

Search by name, ID or email, and filter by role or status. Overdrawn finds anyone below zero. The chart icon opens the agency overview.

The member's page

The page shows the member's roles, ID and contact. A mentor's page adds their rate and how they are paid, and Show payment details reveals the account on file. Edit changes these, and the ... menu deactivates or removes the member.

Student names and ID

A student can go by several names: the one they signed up with, their English name, their Chinese name, and others they use. Olva shows the English name first everywhere, followed by the student ID, so hours land on the right person. The member's page lists the other names under Also, and Edit sets the Student ID, English name, Chinese name and Other names.

Every student and mentor list works the same way: the name and ID on top, other names underneath, and a mentor's legal name as their other name. Typing any of those names, the ID or the email finds them.

Trial students

A trial student gets 60 minutes of free sessions. Trial shows their trial mentor, and Change mentor picks another. Convert makes the student a full member. Reopen lets them book the trial again.

Assigning a mentor

A student can book only the mentors assigned to them. Each assignment names a service and a mentor.

Each assignment is Ongoing or One-time. A one-time assignment grants a single session and leaves the list once the student books it. The list shows the first eight rows, and View all opens the rest.

An external mentor is paid ahead for a set number of hours per student, set when the student is added. Material fee on their page charges a student for materials.

Hours

Remaining is the student's balance. Adjust adds or deducts hours with a reason. Hours from an external mentor or course name that mentor or course, and the student sees the name. Hours history lists every change, newest first.

Payout

Owed now is a mentor's unpaid hours at their rate, plus any unpaid bonuses. Record payment opens the payment form, filled in with what is owed. It is the same payment as Pay in Review.

Give bonusadds an amount in the mentor's currency, with a reason. A bonus stays under Unpaid bonuses until a payment includes it, and the payment form includes unpaid bonuses by default. Payout history lists each payment and hour change, and a payment that settled a bonus says so.

Invitations

Invitations appears when the agency has a sponsor. An invitation takes an email and a role. A student invitation can start as a trial, and a mentor invitation as external. A student invitation can also carry the student ID, English name and Chinese name, which apply when the invitation is accepted. Each one shows its status (Pending, Accepted, Revoked, Expired), a copyable link, and Resend while it is pending or expired.
